Terms and
conditions.

These terms and policies cover your use of the Say4 website and the “See SafetyUX in action” form. Any paid services are covered by a separate proposal or client agreement.

Last updated: 1 September 2026

SAY4 LIMITED (“Say4”, “we”, “us” or “our”) is registered in England and Wales under company number 17422376. Our registered office is 25 Laurel Grove, Leigh, United Kingdom, WN7 5RB.

1. Terms of Use

The Safety Culture Toolkit enquiry form sends your details to Say4 through HubSpot, then directs you to book a demo. Submitting does not create a SafetyUX account, send a password email or activate platform access. We arrange toolkit access with you following your demo.

These Terms and Conditions apply when you use this website or submit a Say4 form. By selecting the agreement checkbox and submitting the “See SafetyUX in action” form, you confirm that you have read and accepted these terms and our Privacy Notice.

The Say4 website, SafetyUX platform, Say4 Training, text, designs, graphics, reports and other original materials are owned by or licensed to Say4. You may use public website content for ordinary business information, but you must not copy, resell, republish or use substantial parts of our materials or branding without written permission.

You must not misuse the website, attempt unauthorised access, interfere with its operation, introduce malicious code or submit unlawful, harmful, misleading or infringing material.

2. SafetyUX Form and AI Use

The “See SafetyUX in action” form provides an immediate starting view based on the answers supplied by one person. It is not an organisational safety culture assessment, workforce survey, audit or determination that a workplace is safe or legally compliant.

Your answers are transferred securely into SafetyUX so that Say4 can prepare for your requested walkthrough. The AI Engagement Assistant may use them to prepare a draft summary, questions or suggested starting actions. An authorised person reviews this material before it is shared or used.

AI-assisted output can be incomplete or inaccurate. It is advisory and must not be used as the sole basis for safety-critical decisions, legal or compliance decisions, disciplinary or employment action, individual worker scoring or another decision with a significant effect on a person. Our intended safeguards are explained on the Responsible AI page.

You are responsible for the information you submit and for having authority to provide it. Do not include employee names, health information, active incident details, legally privileged information or other confidential information that you are not authorised to share.

3. Data Protection and Privacy

We use the contact and organisation details you provide to manage your request, contact you about it and arrange a walkthrough. Your answers and immediate result are used to provide the experience and give SafetyUX a relevant starting point.

We do not sell this information or add you to marketing emails merely because you submit the form. We share information only where needed to operate the website and SafetyUX, support AI-assisted processing, manage business contacts, communicate with you, meet legal obligations or protect our legal rights.

Full details of what we collect, why we use it, who processes it and how long we keep it are provided in our Privacy Notice.

4. GDPR

Say4 handles personal information in accordance with applicable UK data protection law, including the UK General Data Protection Regulation and the Data Protection Act 2018.

Depending on the circumstances, you may have rights to access, correct, erase or restrict use of your information, object to some processing and receive portable information. Details of these rights and how to contact us are set out in our Privacy Notice.

5. Cyber Security

Say4 takes reasonable technical and organisational measures to protect the confidentiality, integrity and availability of its website, platform and data. Access is limited to authorised users and service providers, and security controls are reviewed as our technology and services develop.

No internet service can be guaranteed completely secure. If you believe you have identified a security issue, please report it promptly through our contact form and do not attempt to access, alter or extract data.

6. Digital Accessibility

Say4 aims to make its website, platform and digital materials accessible and inclusive. We design towards recognised accessibility guidance, support keyboard and assistive-technology use where reasonably possible, and review feedback to identify improvements.

If you experience an accessibility problem or need information in another format, please contact us. More information is available in our Accessibility Statement.

7. Anti-Money Laundering and Financial Crime

Say4 does not tolerate money laundering, terrorist financing or other financial crime. We may carry out proportionate checks on a customer, its representatives, ownership or payment source where needed to meet legal obligations or manage a legitimate financial-crime risk.

We may refuse, delay, suspend or end a transaction or business relationship where we reasonably believe this is necessary to comply with applicable law or address a serious concern. We may also provide information to a competent authority where required or permitted by law.

8. Modern Slavery and Human Trafficking

Say4 has zero tolerance for modern slavery, human trafficking, forced labour, servitude or child labour. We are committed to acting ethically and taking reasonable steps to prevent these practices within our business and supply relationships.

We expect suppliers, contractors and business partners to uphold the same standards. Where a serious concern arises, we may request further information, require corrective action, suspend the relationship or end it.

9. Equal Opportunities, Diversity and Inclusion

Say4 is committed to treating employees, customers, users, suppliers and partners fairly and respectfully. We do not tolerate unlawful discrimination, harassment, bullying or victimisation in our organisation or in the delivery of our services.

We aim to make our training, platform and supporting materials inclusive, avoid unnecessary barriers and stereotypes, and consider reasonable requests for accessible formats or adjustments.

10. Warranties, Disclaimers and Liability

We aim to keep the website and its materials accurate and available, but we cannot guarantee that they will always be complete, uninterrupted or error-free. Say4 does not provide legal, engineering or clinical advice. Website content and AI-assisted output do not replace competent professional judgement, workplace consultation, risk assessment, incident investigation or legal duties.

Nothing in these terms excludes or limits liability where it would be unlawful to do so. Any warranties, service levels or liability connected with a paid service are governed by the relevant client agreement.

11. Governing Law and Jurisdiction

These terms are governed by the laws of England and Wales. The courts of England and Wales have jurisdiction, except where applicable law gives you a mandatory right to bring proceedings elsewhere.

12. Contact Information and Changes

Questions, permission requests or concerns relating to these terms and policies can be submitted through the Say4 contact form or sent by post to SAY4 LIMITED, 25 Laurel Grove, Leigh, United Kingdom, WN7 5RB.

We may update this page when our website, services, working practices or legal obligations change. The date above shows the latest revision.
